Terms of Service

The short version. Core CRM use is local-first. If you enable Personal Sync, Drive backup, a browser or Team Workspace, the relevant data also lives in your own Google Drive or the team manager’s Drive. We operate no server that stores or can read CRM records — which also means we cannot recover them for you. A separate billing authority processes only minimum pseudonymous purchase metadata to verify Google Play entitlements.

1. What these terms cover, and what counts as acceptance

These terms cover the CRM: Customer & Sales Tracker Android application, any companion web application we provide for the same workspace, and the website crmsalestracker.com (together, “the Service”). Using any of them means you accept these terms.

Each of the following is acceptance on its own: purchasing a team package, creating a workspace, joining a workspace as a member, or attaching a browser to one. Members accept these terms even though they never pay.

We issue no accounts and hold no passwords. You authenticate with your own Google account, and we cannot reset, unlock or recover access to it.

2. Where your data lives

Personal mode stores data locally by default. If you enable Personal Sync or Google Drive backup, supported records or the backup file are stored in your own Google Drive. A Team Workspace stores shared data in the workspace manager’s own Google Drive.

We operate no server that stores, relays or can read your CRM data. Where a browser interface exists, it is a static page your browser runs, communicating directly with Google’s services. Your CRM data never passes through infrastructure we operate.

Our separate billing authority stores encrypted purchase tokens and minimum pseudonymous account, product, entitlement and verification metadata. It receives no customers, appointments, sales, payments, refunds, notes, attachments, workspace keys or Drive business payloads.

3. Encryption, the workspace key, and permanent loss

Workspace content is encrypted on your devices with a key generated on the manager’s device. The key travels only inside team invitations and a recovery file kept in each member’s own Google Drive. We never receive or hold this key.

In consequence: if every copy of the key is lost — devices reset, recovery files deleted — or the workspace file is deleted from the manager’s Drive, the data is unrecoverable, by us or by anyone. This is a deliberate design property of the Service, not a defect. Using the app’s backup features is your responsibility.

4. Your team is your trust decision

Every invited member’s device holds the workspace key and can read all workspace data. Removing a member stops their future access but cannot erase what their device already synchronised. Members cannot re-share the workspace file, but a member with technical skill could read workspace data directly through Google’s interfaces while their access lasts.

Invite only people you trust with the entire customer list.

5. Subscriptions, and how entitlement reaches your devices

Personal Pro and Team Workspace are separate paid products. Personal Pro unlocks Personal Pro capabilities and full Personal browser access; it does not include Team Workspace. Team Workspace unlocks the separately purchased team context; it does not include Personal Pro. Purchases, trials, renewals, cancellations and refunds are handled by Google Play under Google Play’s terms. Team members never pay, and no browser interface sells anything.

The Android app sends a purchase token and a privacy-preserving account binding to our billing authority. The authority verifies the purchase with Google Play, stores the token encrypted, and issues a short-lived signed entitlement. Android and browser clients verify that signature; they cannot create or extend paid access themselves.

For Team Workspace, the manager may choose an offline verification window of one, two, three or seven days; the default is two days. A shorter choice can shorten an existing window. A longer choice becomes usable only after the billing authority verifies an active manager subscription and issues a matching signed entitlement.

Locking hides paid capabilities and deletes nothing. Personal Free Android remains usable. Access returns when authoritative entitlement returns. Google may continue entitlement until the paid period ends after a cancellation; expiry, refund or revocation is applied from Google Play’s server state, not from an unverified device cache.

6. Dependence on Google

Personal Sync, Google Drive backup, browser access and Team features require a Google account, Google Drive and, where applicable, Google Sheets. Interruptions, quota limits, API changes or policy changes on Google’s side are outside our control and may interrupt those optional features. Storage counts against the Google Drive quota of the person who owns the relevant files.

Core personal-mode editing, reports and reminders do not require these services and continue to work offline. Optional sync and Drive backup resume when a connection and Google authorization are available.

7. Synchronisation semantics you accept

The Service is offline-first: edits queue on the device and upload when connectivity allows. When two people edit the same field of the same record at almost the same moment, one edit wins deterministically and the other is replaced. Financial records are append-only and are not subject to this.

Personal Sync and Team Sync are not full backups. Supported reminder definitions, attachment metadata and encrypted attachment files can sync. Physical alarm delivery and checkpoints, notification state, local attachment caches, transfer-session state and browser or device preferences remain per-device. A separate file backup carries broader recovery material and can include attachment files when you choose that option.

8. Copies in your browser

A browser interface keeps an offline copy of the attached Personal or Team workspace in browser storage, so it can render instantly and work offline. On a shared or public computer, use “forget this browser” when you finish. Until you do, that copy stays on the machine — hidden while locked, but present.

9. Data protection roles

The customer records you keep in the Service are yours. For KVKK, GDPR and comparable regimes you are the data controller of your customers’ personal data, and having a lawful basis to record it is your responsibility. We do not process workspace contents.

The Service collects pseudonymous usage and diagnostic data through Google Analytics and Crashlytics, as described in the Privacy Policy. We do not deliberately send customer or CRM record fields as analytics parameters.

The billing authority processes encrypted purchase tokens and minimum pseudonymous identifiers solely for entitlement, restoration, abuse prevention and purchase-lifecycle reconciliation. It does not receive workspace contents.

For your own compliance planning: deletions in the Service are logical. Records are hidden and stay encrypted, and the underlying storage keeps version history inside your own Google account. If one of your customers exercises an erasure right, your remedies are the Service’s delete function together with the controls of your own Google account.

10. Acceptable use

Do not use the Service to store or process unlawful content, do not abuse or attempt to circumvent Google’s or our technical limits, do not resell the Service, and do not use it to send communications that violate applicable law, including unsolicited messaging.

WhatsApp and SMS reminders are drafted by the app and sent from your own device, under your own number and your own responsibility. The Service never sends a message by itself.

11. Ending use

A member may leave and a manager may disband the workspace at any time in the app, locked or not. Leaving wipes the team copy from the leaving device; the workspace, and the manager’s archive copy, stay in the manager’s custody.

After a disband the workspace file remains in the manager’s Drive until the manager deletes it — we could not delete it if we wanted to. We may suspend access to the Service for breach of these terms.

12. Disclaimer and liability

The Service is provided “as is”, without warranty of uninterrupted operation or of fitness for a particular purpose.

To the maximum extent permitted by law we are not liable for: loss of the workspace key or of your Google account; deletion of Drive data; data read or misused by a member you invited; edits replaced under clause 7; locking under clause 5; or Google-side interruptions under clause 6. Our aggregate liability is capped at the amounts you paid through Google Play for the Service in the twelve months before the claim. Nothing here excludes liability that cannot lawfully be excluded.

13. Changes

We may update these terms. Material changes are announced in the app or on this site, and continued use after the effective date is acceptance. The English text is authoritative; translations are provided for convenience.

14. Governing law

These terms are governed by the laws of the Republic of Türkiye, and the courts and enforcement offices of Istanbul are competent. If a provision is held invalid, the rest stands.
