Team CRM: one customer list, everyone on their own phone
The manager creates a workspace and shares a join code. Each employee installs the same app, joins with the code, and works on their own phone — offline included. Changes sync through the manager own Google Drive, encrypted before they leave the device. The manager is the only person who pays.
Key facts
- Who creates it
- The manager, from the Team screen
- How staff join
- A join code — no account with us
- Sync transport
- The manager own Google Drive
- Encryption
- Changes are encrypted on the device before upload
- Offline
- Every device keeps working; changes queue and go out later
- Seats
- 1+5, 1+10 or 1+15 packages
- Who pays
- The manager only — members never see a payment screen
The architecture, stated plainly
There is no Deepliy server in the middle. The workspace is a set of files in the manager own Google Drive, and each phone reads and writes to it. That single decision carries most of the properties people care about: we cannot read your customer list, we cannot lose it, and we cannot hold it hostage if you stop subscribing — the archive stays with you.
Every device keeps a complete local copy, which is why a member on a building site with no signal is not blocked. Changes are recorded as an ordered log and pushed when a connection appears.
What the manager controls
The revenue attribution choice looks small and is not. When a customer is handed from one salesperson to another, whose numbers should the next sale land in? Both answers are defensible and it is a company decision, so the app asks the manager rather than deciding for them.
- Who is in the team, and who is removed
- Which customers each member can see — a scoped member sees only their own portfolio
- Who may export which segment of the data
- Whether revenue stays with the original seller or follows the current assignee after a customer is reassigned
- The seat package, and therefore the size of the team
What members experience
A member installs the app, taps join, types the code and starts working. They are not asked to create an account, they are not asked to pay, and they never see a subscription screen. If the manager scopes them, they see their own customers; if not, they see the shared list.
Appointment reminders follow the same rule: a scoped member is only woken by their own portfolio, so nobody gets an alarm at seven in the morning for someone else appointment.
What happens when a subscription ends
The workspace locks. Team data becomes invisible on every device, and syncing stops. Nothing is deleted: the moment the subscription is active again, everything comes back exactly as it was and syncing resumes from where it stopped. Personal mode keeps working the entire time, with all of its own data untouched.
The same honesty applies to disbanding. If the manager disbands the workspace, an archive is written first, and it can be restored from the Backup and Restore screen.
Seat packages
Seats are sold as packages rather than one at a time, and the cap is enforced when the manager sends an invite. Monthly or yearly billing, through Google Play, in your currency; yearly plans carry a three-day free trial from Google.
| Package | People it covers | For |
|---|---|---|
| 1+5 | Manager plus 5 staff | A salon, a small workshop, a two-van service business |
| 1+10 | Manager plus 10 staff | A growing agency or a shop with several branches |
| 1+15 | Manager plus 15 staff | A sales team; a twelve-person team buys this one |
Frequently asked questions
Do my employees have to pay?
No. The manager buys one seat package for the whole team. Members join with a code, never see a payment screen and are never charged.
Where is the shared data stored?
In the manager own Google Drive. There is no Deepliy server holding it, and every change is encrypted on the device before it is uploaded.
Can a team member work without a connection?
Yes. Every phone keeps a full local copy and stays fully usable offline. Changes queue up and are pushed the next time there is signal.
Can I stop a member from seeing all customers?
Yes. A scoped member sees only their own portfolio, on screen, in the reminders and in anything they export.
What happens to the data if I cancel?
The workspace locks and team data becomes invisible, but nothing is deleted. Resubscribing brings it all back, and personal mode keeps working throughout.
How many people can join?
Five, ten or fifteen members plus the manager, depending on the package. The limit is checked when an invite is sent.
