Replacing the paper appointment book: the honest version

What paper genuinely does better

Writing a name in a box takes under two seconds and never asks which customer you meant. The book opens instantly, works in a power cut, and everyone who has worked a counter can use it without training. Any argument for replacing it has to start by admitting that.

The four things it cannot do

• Ring at 14:00 — the reminder is the single biggest gain, and full-screen alarms are how it works on a busy floor
• Tell you who owes you money — the pending payments screen is the answer paper never gives without adding up columns
• Be in two places — a second stylist or a partner cannot read your book from their own counter
• Survive water, loss or a year ending — a backup file survives all three

What you actually lose

Entry speed, for about three days. Marginal notes in the margin, which become customer notes and custom fields but never quite feel the same. And the ability to hand the book to someone who has never used it — the app takes an hour to be comfortable with.

It is also worth saying that a phone can be lost or broken, exactly like a book. The difference is that a backup file exists and a photocopy of the book usually does not.

Moving without a bad week

• Keep writing in the book for two weeks; enter the same bookings in the app in the evening
• Bring your customers across from phone contacts in one tap
• Put the appointments widget on the home screen so the day is visible without opening anything
• Set full-screen alarms for the bookings you cannot miss
• After two weeks, stop opening the book — but do not throw it away for a month
